GENERAL

What are frames and where they are

left frame : menu, project list upper frame :

task and message list

lower frame :

*Left frame:
The main items of the menu:
- Login: quit the program, finish a session
- Profile: personal information, settings, contact information
- Help: manual for , description of its functions.
- Admin: access only for administrator. Setting of group and user rights, creation, change and deletion of projects and planners.
- Search: searching through all forums and planners by the following parameters: subject, body text, message type, author, project group, project, date, status.
- Refresh: cheching up new messages

Personal Folders:
- Inbox: new messages from all the projects, so there is no need in opening each project separately to read incoming messages.
- To-Do: task list, plans, reminders. Messages from all the projects may be put here as tasks.

Other teams:
Team is a separate independent unity on the basis of . Each team has their own independent projects, user list and the administrator.
It happens sometimes that one user belongs to several teams at once and uses several accounts. To have the opportunity to follow all ingoing messages at all accounts by other teams, the user can add a link to his/her other accounts. The data required are: server, team name, login, name and password of the account by another team.
Example: http://teamintegrator.com, Helicon, guest, 12345.

Projects:

Depending on the user's rights all the available projects, grouped if it is necessary (e.g. all the projects, performed for one customer)

Online users:
Here you see the users that are currently online and available for discussion. You can send the user a note (icon ), or an SMS (icon ). By pointing the icon you can see how long the user is absent, i.e. when she/he was active in last time. The link "All users" will show you the complete list of all registered users.


*Upper frame:

To view a project as a forum:
Display of the total message list, grouped by topics, 10 topics  (with attached messages) a page.
To view as a planner:
The tasks are displayed in the form of a time table, with reports and comments.

*Lower frame:

The main "working" area. Here:
- messages for reading and editing,
- in planners - reports for reading, editing and evaluation,
- forms for entering new messages, tasks, reports and comments.
Project overview:
For the sake of clearness, by opening a project a calendar diagram appears, visualizing the project progress and enabling to judge about the user activity, labor time and project status.


What do the text and icons in the message list mean

- icon next to the message title denotes one of six message types (information, update, question, reply, task, report)
- topic of the message
- icon "Attachment" (if any)
- time of creation, if the message is older than 24 hours ago, its age is displayed in days in brackets
- icon "reply"
- author's name
- depending on the user's rights, icons "edit", "delete", "hide", "transfer".

What is forum and planner?

Each project may contain messages, which can be viewed as a forum (e.g. problem discussion). Some projects may also contain tasks and reports, which can be viewed as a planner (time table). For switching between the modes of  forum and planner, use the  icons next to the title of a project in the project list ("F" or "P') or links in the first line of the upper frame.

 

PROJECTS

How to read a message
In the left frame*: click the title of the project group (to open the full list of projects), choose the project (click its title), where new messages* have appeared (the number in brackets next to the project title means new unread messages).

In the upper frame* the full list of messages will appear, new ones will be marked red. The full text of a message can be read by clicking on its title.

In the lower frame* you will see a table containing information, who and when created this message, which users have read it and when.

The upper line of the frame with the text contains, depending on the rights of the user, links: reply | discussion | edit | delete | hide | to do!

In the  left frame*: click on the name of the project group (open the full list of the projects), choose a project (click its title), where new  messages*  have appeared  (the number of new messages is shown  in brackets next to the project title).
In the  upper frame* the full list of messages will appear, the new messages will be marked red.
The full text can be read if to click on its title; in the  lower frame* a table will be open showing who and when created the message, which users have already read it and when).
The upper line of the frame with the message text contains, depending on the user's rights, links: reply | discussion | edit | delete | hide | to do!

How to write a new message
In the upper frame click on the link  New Message, in this case a window for entering the text will open in the lower frame. Having filled in all the necessary fields (topic, text of the message, type of the message, its availability for groups and users, notifications, attachments), click on the button Submit to send the message.

How to reply
Way 1: click on the icon Reply after the message title (upper frame) .
Way 2: in the lower frame, above the text of the message you want to reply on, click on the link  Reply (the upper line above the message title).

How to edit a message
Only the author of the message and the group of users, who have corresponding rights can edit it.
Way 1: click on the icon Edit after the author's name in the line with the name of the message (upper frame) and make changes in the lower frame.
Way 2: in the lower frame, above the text of the message that should be edited, click on the link Edit (the upper line above the message title).

How to delete a messagÅ
Only the author of the message and the group of users having corresponding  rights can delete the message.
Way 1: click on the icon Delete after the author's name in the message title (upper frame) and confirm the deletion in the lower frame.
Way 2: in the lower frame, above the text of the message that should be deleted, click on the link Delete (the upper line above the message title).
Attention! If the message has answers attached to it, they will also be deleted automatically.
If a message is a header of a thread (message block), in case it is deleted the whole block will be deleted too.

How to add attachments
While creating a message, in the upper line of the lower frame, above the message title, choose the bookmark Attachments, to open a window where you can select files to be uploaded with the button Review (maximum  3 files 2 íb each a time). If you want to attach 3 more files, re-open this message for editing once again and repeat the procedure.

How to make a message invisible for certain users and to send notifications
While creating a message, in the upper line of the lower frame, above the message title, choose the bookmark Availability and notifications, to select addresees and the way of notification (or without notification).

What is the message status
To highlight the importance of your message, or to indicate the progress stage of the tasks, you can use these flags. Note that messages with the flag "To do" are automatically added to the To-Do section.

PLANNER

How to create a task
If a project is open as a planner in the left frame, the current schedule of tasks on this project opens in the upper frame. The form to enter the data on the new task will open, if you use the link New task in the upper line of the upper frame. Having filled in all the fields and entered all the information, as well as determined the users' rights  (visibility of the task for them) and set up the notifications, click on Submit and the new task will appear in the upper frame.

How to view the task
Way 1: Find the task in the upper frame and click on the box before the name of the task. The task will open in the lower frame.
Way 2: Below the schedule in the upper frame there is a list with all the tasks. Click the task needed.

How to create a report
ïpen the task, you want to add a report to, click Add report, fill in the form which opens in the lower frame. After typing your report and filling in the fields, push Submit and in the upper frame, next to the task the icon of the report (of the defined by you colour) will appear near the specified date.

How to create a comment
ïpen the task to which you want to add a comment, choose the link Add comment. After entering the text and filling in the fields, click Submit and in the upper frame next to the task the icon of the comment will appear.

How to confirm a report
This option is usually available for the users with the rights of a group leader and project manager.
To confirm the working hours, claimed in the report, click the icon of report in the upper frame to open the report for reading in the lower frame, after which, using the link Edit, fill in the corresponding  fields in the form. Having indicated the hours in the field Internal confirmed hours and added  (if necessary) the coefficient, bonus hours (field  Internal Bonus Hours), remarks and comments, save changes in the report by pushing  Submit.

How to view the statistics
The link  Stats in the upper line of the upper frame opens a chart overview of planned and actually worked hours, where one can set up the output parametres (by tasks, users, period and so on). Parametres should be defined in the upper line of the upper frame, then, to view the results, just push Ok.
You can view the overall statistics at a glance by all the planners if you use the link All (the upper line of the upper frame)

INBOX

All the new unread messages come to this block automatically. The read messages are removed from this folder.

How to enter
The link  InBox (the left frame, section  Personal folders) the list of all the unread messages is shown  in the upper frame as a table, indicating the author, time of creation, project and type of the message.

How to read
Click the  message title, and  the text with the information on the time of creation and time of reading the message by other users will appear in the lower frame

How to clear
On pushing the link Mark all as viewed, messages are removed from the folder InBox. You can read them, oening the correspondent project.

If you don't want messages to appear in your InBox
In the Profile, in the section Project settings, note if you want  new messages to come into the folder InBox, just by ticking   the projects and planners needed.

TO-DO

You can put here messages from projects and planners with the tasks, instructions, remarks and important information not to be forgotten.

How to view
The link To-Do (the left frame, section Personal folders) opens the list of all the messages with tasks and important information in the form of a chart, indicating  the author, time of creation, project and the type of the message, in the upper frame.
The full text of the task is displayed in the lower frame, by clicking its name in the upper frame.

How to add
Having opened any message in any project, click the link  To Do! in the upper line of the lower frame and a copy of message will be added to the folder To-Do.

How to delete
Having opened a task, use the link Done! (delete from the list of tasks) or Delete (be careful: the message will be deleted irrecoverably!)   in the upper line of the lower frame.

PROFILE

This section is filled with the information necessary to better organize the work of in the most convenient for the user way. These data will be used to indetify the user, send notifications, setting up the interface and other options.
Fields marked by (*) are a must.

Login - data for entering the system and the e-mail and mobile phone number for sending notifications.
Password - used for changing the password.
Personal - optional information that facilitates communication with other users of .
General settings - options to adjust to meet your personal needs and make it more convenient, ban unnecessary for the user information, set up the interface and so on.
Project setting - the list of all projects and planners, available for the user, where she/he can choose the way of notification by each of them and also to define, whether new messages should be displayed   in the InBox.
Photo - the section to upload user's picture which will be displayed together with her/his messages. The number of photos is unlimited.
