Administrator is a user, possessing exclusive rights for the system management. In the system there may be several administrators with equal rights simultaniously.
Unlike the other users administrator has the right to view the lists of all the projects, create new projects, delete existing ones, coordinate users (create, delete, give passwords).
May the administrator view all the messages?
No, he views only those messages, which are visible to the group, he belongs to(e.g., Project Manager). However, the administrator may connect up to any user group, thus, if he wants, he can get the access to all the messages.
I am an administrator. What should I do?
Imagine that you are the administrator of a new user group. You are the only user and there is no existing project yet. We offer the following sequence of actions:
1. You connect new users to the system ,
2. create the first project,
3. set the user rights,
4. connect users to the project and classify them into groups,
5. create another project(it is possible just to clone them)
How should I connect new users to the system?
Administrator has the excusive right to do it. In the menu choose the entry "Administrator", section "All users".
Fill in the form at the bottom of the page, giving such user's data as name, login, password, Email. User rights management is greatly facilitated due to the division into system user groups (compare, division into groups in each project!). Connecting new users it is necessary to classify them at once to the correspondent system group.
After connecting the user, he/she may change the password, interface language, time belt and other settings in the section "User profile".
Only registered users may be connected up to the project, their rights should be determined in sections "All users" and "User rights".
In the section "Projects", in entry "Users", which is the link to the section "User rights", belonging to a certain group is established for every user , and also the way of notification is indicated by default (ïî Email, SMS, or to the InBox "InBox").
In the section "All users" administrator may change the system rights, password and personal user profile.
Here administrator may deactivate and delete users, and view the list of deactivated users.
Usually a user belongs to one user group only, though there are no restrictions as to the affiliation to groups.
How should I create a new project?
In the menu of the left frame choose the entry "Administrator", section "Create a project", input the project name and choose the group of projects, where it should be included or create a new one.
Besides, you must determine the way the project will be viewed by default- as a forum or as a planner.
After that set up in the project settings group and user rights.
Having created a project, the administrator can manage it with the help of the sections "Projects", "Change a project" and "Group rights".
Section "Projects" is a full list of projects, where it is possible to
- hide separate projects,
- create projects-clones, i.e. identical projects with the same name, rights, users, groups and rights, as the initial project,
- create and edit user groups for each project separately and set up their rights (link "Groups"),
- determine the user affiliation to project groups and choose the type of notification by default (link "Users"),
- delete projects.
Section "Change project" enables to work with such project attributes as name, visibility ("Hide"), group affiliation, presentation type (forum or planner), project diagram, description.
Section "Group properties" determine users groups and their rights in each project separately.
How should I define the group rights?
For each project it is necessary to define groups, rights for each group and user affiliation to groups.
Open the section "User rights" (link "Settings" in the upper frame). In the opened form each line corresponds to one group.
The first field is a group name (e.g., group leader). Each next tick adds the user of this group certain rights.
Tick in the field Active group means that while creating a new message it will be visible by default to this group. Usually, creating a message, users do not notice which groups will be able to view it, and this function enables to solve this problem easily.
Administration rights (turquoise):
The right to manage groups - users, belonging to this group, have the right to administer groups. Usually only project managers have this right.
The right to manage users - users have the right to connect new users to the project and classify them into groups. Usually only project managers have this right.
Besides, users with such rights may view the chart of the project user recent activity.
The list of all the users of this account is also viewed by the users, who have these rights.
The right to change forum settings - users may change the project name and affiliation to a group of projects, and also hide and delete projects. Usually only project managers have this right.
If a project is hidden, but in its URL the ID is indicated, this project will be viewed as usual and available to all users.
The rights for the planners (pink):
Note: by default it is considered that employees put their internal working hours, project manager confirms them (fully or partially), after which the project manager claims them as external hours, which are then confirmed by the client (fully or partially).
The right to view statistics - users with these rights can view statistics by reports in the planner.
The right to view internal hours- users with these rights can view internal claimed working hours. Usually this right belongs to employees and the project manager.
The right to view external hours - users with these rights can view external claimed working hours. Usually this right belongs to the client and the project manager.
The right to view internal estimation- users with these rights can view confirmed internal working hours. Usually this right belongs to employees and the project manager.
The right to view the external estimation- users with these rights can view confirmed external working hours. Usually this right belongs to the client and the project manager.
The right to change the internal estimation- users with these rights can edit internal claimed and confirmed hours. Usually this right belongs to the project manager.
The right to indicate external hours- users with these rights can claim external working hours. Usually this right belongs to the project manager.
The right to confirm internal hours- users with these rights can confirm internal claimed hours. Usually this right belongs to the project manager.
The right to confirm external hours- users with these rights can confirm external claimed hours. Usually this right belongs to the client.
Begin a new thread- users with these rights can create new messages or tasks.
Reply- users with these rights can reply to the messages, reports and comments, and also add tasks.
View history- users with these rights can view the history of the message while reading it, i.å. a chart with the information about the time this message was read by other users.
Download file- users with these rights can attach files to their messages.
Change rights for a message - users with these can change the access right of other users to the message (choose groups, to which this message should be visible)
Change notification- users with these rights can choose, who and how should be notified about new messages (ïî Email, SMS, or to the InBox)
The right to view all the messages- users with these rights can view all the messages, referring to this project. Usually this right belongs to the project manager exclusively.
The right to edit all the visible messages- users with these rights can change all the visible to them messages. Usually this right belongs to the project manager exclusively.
How should I create new teams?
In this section administrator can create new teams (e.g., out of other firms with their projects), input the access data, and also URL, API SMS-provider, brief profile and the information concerning the team.
This section is used to inform about the latest visit of the system by users, showed as a general list and sorted by system groups.
User activity in separate projects can be viewed by the administrator in the section "Last visit".
